    Recommendation feature for both 'Quick room search' and 'Find a Room'

    How it works:
    If there's no room available based on inputted search parameter(s), show the next best alternative date/time slots

    Reason:
    Meeting rooms, especially training rooms, in our organization is a scarce commodity.
    While it's possible to rely on e.g. advanced grid, it's much more efficient and convenient if the system can directly list alternatives upfront

    Indicate the meeting title and date/time in the confirmation pop up when deleting a booking in the grid.

    It happens that admin right click on the wrong appointment in the advanced grid and delete the wrong booking.

  4. Prevent users from remotely starting the meeting

    Users misbehaving and starting their meetings remotely from the web, outlook add-in or mobile.

    Admins should have the option to disable this feature and force users to physically be at the screen to check in.

    (Mobile check in only via proximity - bluetooth beacon)

  5. Use Outlook plug-in to copy a meeting which was held in the past and use it for a future appointment

    Using the outlook plugin we should have the opportunity to copy a meeting which was held in the past and use it for a future appointment.

    Currently this is not possible

  6. Pop up 5 mins after your room booking has started to remind requestors to activate the room

    It would be really good to have a pop up at say 5 mins after your room booking has started to remind bookers to activate their room. Most of the time its PAs that book multiple rooms in any given day and this helpful reminder would be very useful :)

  7. Visibility of the booking history

    For each booking it would be useful (and very helpful) to get visibility of the booking history.

    Similar data to this is included in a booking trace via the SaaS team when requested, but this information could be easily formatted and presented via the application, so people understand what has happened to the booking during its lifecycle.

    Details such as:
    1. What was changed in a booking
2. Quantity (if applicable)
3. Changes to the service item times
4. When the booking was created
5. Who created the booking and when
6. Who modified the booking and what did they do

  8. User profile option to not receive emails

    While some users like the confirmation emails, others apparently do not and feel it's just cluttering their mailbox. Is it possible to add a user profile setting that would enable/disable the sending of emails to that user?

  10. Recurring meetings - alternative rooms suggested should take into account equipment required

    When booking a recurring meeting with equipment - if one of the recurrences cannot be accommodated because the room is already booked - the list of alternative rooms includes those where the equipment it not allowed. if the user selects that room (maybe not realising) the booking is still saved, the equipment is not added but the user is not given any warning that the equipment hasn't been booked for that recurrence.

    For example, you can book a projector for Room 1 but not Room 2

  13. Email confirmations only show original Booking ID but not all recurring dates

    Currently in email confirmations for recurring bookings it only displays the original Booking ID but does include all recurring dates.

    As each booking has its own Booking ID it would be nice to include it next to each date of the recurring date.

    We would like to be able to add a document as an attachment to a room booking.

    ,This document may contain information about the meeting or people that will be attending the meeting, etc.. We would want to be able to view the document online and be able to print out as well.

  15. Conflicting recurring meetings should suggest alternatives based on number of attendees

    When a recurring meeting has a conflict, the application should recommend rooms based on the number of attendees to optimise room utilisation.

    Currently, it suggests conference rooms that have either the same or more room capacity.

    Example:

    I want to create a weekly meeting in the Philadelphia office in Conference Room A (that has the capacity set to 15) and in one of the weekly occurrences, I have a conflict because someone has Conference Room A already booked.

    There are 10 people set as attendees in the booking.

    Currently, I am only shown alternative rooms that can hold 15 or…

  16. Delete a series when meetings have been bumped X number of times

    The auto-bump feature is great for individual no-shows. Can you extend that function that if the booking is part of a series and x sequential meetings are bumped, the entire series is removed.

    Use case: User books recurring meeting for a couple of months. User is then terminated or leaves, but nobody else is associated with the bookings. This can now only be deleted by an admin on request. If the meeting is no longer valid and say 3 in a row are missed, cancel the remainder of the series.

  17. Edited recurring bookings to be completely removed from the original series

    The problem is that when you change an instance of a recurring booking they still kind of linked to the original series.

    A recurring booking that has been edited by the instant booking should completely be removed from the series and act like any other booking that has not been created in a series once edited by this instance.

    The individual change should sit in the "My bookings" completely separate (not in the series part of my bookings like it does at the moment )

  18. System to hold room bookings to for a set period of time

    When a user is trying to book a room, another user is able to "steal" the room if they complete their booking quicker. Once a booking is in the process of being made, another user should not be able to make a booking in the same room if the times overlapped. Similar to online ticket websites that hold tickets for a set period of time (usually 10 minutes) to allow you time to complete the transaction.   19. System to ignore setup and clean down times when calculating room availability

    Use case : a user makes a room booking for a date without catering.

    A few days before the meeting, he decides to add catering (eg meal trays). Unfortunately, if these services have setup and clean-down times, the system tries to set them up, but if in the meantime the slots before and after are busy (which is often the case), the system displays an incomprehensible error message saying that the room is not available.

    To solve this problem ideally the setup and cleandown times should be applied within the booking schedule, and not outside. Because it is more logical…

  20. Booking Summary: Make it easier for admin/users to see what has been amended

    Provider better information within the booking summary.

    Under each update within the summary, provide information as to what has been amended during this update.

    The booking summary form should show if an action was done through the web portal or the Outlook add-in. This would help us troubleshoot issues related to the Outlook add in

    Overall it makes it much clearer for an admin to understand what has been added when, and whether we were aware of certain requirements before the most recent booking update.
