  1. Add internal attendees email as an email template tag

    All the Internal attendees should received email upon the arrival of external visitor.

    And, the current issue is that when receptions are moving rooms reservation, only the host and meeting requestor are receiving meeting updates.

    When a room is moved by the reception, all attendees should receive an Outlook appointment update in their calendar so they have the details about the new room reservations when opening their Outlook invitation.

  2. Linked room to have their own attributes.

    Linked rooms should have their own room attributes associated to the linked rooms, i.e. VCU. Would like the ability to attach photograph to the linked rooms as well.

    Not able to view the booking when you look at the room bookings under 'Your Bookings' in web portal, the only option to edit or delete. Is it possible to add a view button?

  5. Cost Code Smart Search

    Multiple clients have requested for the introduction of a smart search//lookup for the cost code field.

    One of our law firm clients has over 10k costs codes with 15 unique characters in length. Due to the length of the cost codes, there is a high possibility of user error, therefore a smart search would help reduce user error.

    The client would like there to be a smart/contextual similar to smart search on the Host/Requestor fields.

    This is a key requirement for the client and I believe it would benefit many other clients who heavily use Cost Codes.

  6. ALL local admin and global admin to be able to manually enter visitor numbers on the booking form.

    The Number of guests per booking is limited to seat capacity – However we are able to add extra chairs to a booking therefore capacity increases – We are now unable to increase endless number of visitors as this will only reflect the number of guests in the booking – Global admin are allowed to manually input any number of visitors to a booking – Due to the way in which we operate we need ALL local admin and global admin to be able to manually enter visitor numbers .

  8. Relax Find Bookings search criteria, e.g. allow search by date only.

    All fields should be searchable rather than a combination of those fields.

    In some cases, if an admin accidentally deletes the booking, it would be good to be able to search for just cancelled requests / deleted bookings on a given

    I want to be able to confirm if bookings have been scheduled for an individual for a 12 month period in the past/future.

    This makes it easy to say “These are the dates you scheduled, and these are the rooms you are in”

    Everyday users don’t know the exact date and usually give a rough date…

  10. Ability to change location on room amendments

    When a room is booked and later requires amending, users are restricted to choosing a different room in the same location and group. Users are currently not able to change the current room booked to another room that is in a different location

  12. Whilst a user is making a booking, them that the booking is clashing with another due to the set up time

    When making a booking in Outlook, when you enter the details into the Condeco section and add services it automatically adds a set up time. Can the system notify the user if the meeting is clashing with another due to the set up time required? At the moment you enter in all the details and when you click "Book" or "Request Now" - only then will it say that the room is unavailable. Users have to cancel or delete all their work and create another booking which again hopefully will not then clash with another meeting.

  13. Ability for admins/vendors to download ICS attachment from the booking form

    I would like the ability to download an Outlook Calendar item (i.e. an ICS file) from the booking form so that it will be easy to get the booking details into our Outlook calendar.

    There is an ICS attachment feature but it is only available to the host, requestor and attendees.

    If a receptionist wants to add the booking onto Outlook they have to create new meetings in their calendar.

  15. Ability to allow multiple sessions of the same user on Outlook and Web portal at the same time

    A. Most of our Executive Assistants will have the booking grid open

    1. Web browser on one screen,
    2. Outlook calendar Add-In in another screen

    They will constantly switch between the two when lining up meetings – particularly when trying to book series

    B. Concierge and room meeting coordinators only use the Condeco portal (they do not use the Outlook Add in).

    On one window they will have the Visitors list opened and on another list, they will have the booking grid open and will constantly move between the two

    The impact here of this change is they have to constantly sign…

  19. When a user on booking grid clicks on the email address of Host or requester it should open Outlook with email address in To list

    Add 'mailto:' links to the dropdown menu on the booking form so you can easily email the host or requester associated with the booking by clicking it
